This policy is important to you, who want to have a positive and confident experience of our services. It is also for us to meet your expectations and take into account your wishes.

For us, the European BioElectroMagnetics Association (hereinafter your “EBEA”), it is essential to ensure the confidentiality and respect of your personal data (hereinafter your “Data”).

So that you can navigate on the website www.ebea.org (hereinafter the “EBEA website”) and on the EBEA Members Platform members.ebea.org (hereinafter the “Members Platform”) in confidence, and as data controller, we will let’s show you how we treat your Data, to bring you services in the respect of your rights.

We protect your privacy by ensuring the protection, confidentiality, non-alteration, availability and security of the Data you entrust to us across our communication channel.

We take all necessary steps to (i) provide you with clear and transparent information on how your Data will be processed, (ii) put in place all the necessary technical and organizational measures to protect your Data from disclosure, loss, tampering or access by an unauthorized third party, (iii) keep your Data only as long as necessary for the purposes of the specified processing, and (iv) offer you at any time the opportunity to access and modify your Data that we process directly through your personal spaces on the Members Platform.

To achieve these objectives, we implement appropriate technical and organizational measures to ensure that the processing complies with applicable data protection law.

As such, EBEA hereby undertakes to respect the essential principles of the general European regulation and the Swiss law on the protection of personal data, informing you (i) of the existence and the methods of data processing that it implements, (ii) your rights in your Data and effectively implementing the transactions that the exercise of those rights implies, (iii) the existence of transfers to a third country and transfers to recipients, (iv) the retention period of the data collected and data security measures.

Who are we?

EBEA is a non-profit scientific association, founded in December 1989 by scientists from different European countries. The basic objectives of the EBEA are to (i) promote the development of Bioelectromagnetics in Europe, (ii) encourage the exchange of methodology and results in Bioelectromagnetics, and to facilitate the collaboration between European scientists specialized in the various disciplines, and between European scientists and scientists in the rest of the world, (iii) provide reliable information on the advances in this new area of science, and (iv) inform about possible health risks of exposure to electromagnetic sources in the working, domestic or general environments.

What personal information do we collect about you?

We collect the following personal information about you:

  • Username and encrypted password

How do we use this information?

The main reasons we collect personal information from you are:

  • Website announcements
  • Membership orders
  • Journal orders and subscriptions
  • Voluntary contributions to the Society
  • Member profile pages
  • News stories
  • Membership lists
  • Council, committees, and award lists
  • To improve user experience
  • To contact you via email or telephone

We use PayPal for all financial transactions.  If you decide to check out with a credit card, the credit card number is collected and passed on to PayPal.  We do not store the credit card number.  If you decide to checkout with PayPal directly, then we do not have direct access to your payment details such as credit card numbers.  During transactions, we transfer personal information to PayPal to initiate the transaction process. Cookies

We use small text files called cookies to improve overall site experience. A cookie is a piece of data stored on the user’s hard drive containing information about the user. Cookies generally do not permit us to personally identify you.

Email Campaigns

We use a service called MailChimp to send emails to our members and past members. We transfer personal information such as names and email addresses to MailChimp in order to carry out the email campaigns.  Please refer to MailChimp’s privacy policy at https://mailchimp.com/legal/privacy/ for more information.

Tracking Website Traffic

When you visit our website, we also collect information about your computer, the type of operating system and browser you use, your computer’s location, what pages you visit on our site, what links you click on, and what other sites you’ve visited recently. We use Google Analytics to aggregate data on visitors to our website.  Google Analytics places some computer code on each web page to enable tracking of visitors.  Please refer to Google Analytics Privacy Policy at https://policies.google.com/privacy for more information.

Journal Subscriptions

In the event you subscribe to the journal Bioelectromagnetics, we transfer your personal information to the BEMS publisher Wiley.  Please refer to Wiley’s privacy policy at https://www.wiley.com/en-ca/privacy for more information.

How long do we keep your data?

Your Data is collected by EBEA for the time necessary to perform the treatments referred to in paragraph 2 of this document.

The main categories of Data collected by EBEA are retained for the following durations (i) for orders, the Data are kept in current archives for 5 years from the end of the membership, and (ii) for the members, the Data are kept in current archives during 5 years as from the end of the membership.

Do we share your personal information with third parties?

Visitors who view the website anonymously will have access to web pages with news, announcements, lists of council members, lists of presidents, Alessandro Chiabrera and other award recipients, Erice courses. These web pages may include personal information such as names, biographical information, and photos.

In addition to the information available to anonymous visitors, active members in good standing who login to our website can view web pages of membership lists (active and inactive), committees, business documents, obituaries, and member profiles.  These web pages may include personal information such as names, photos, biographical information.

In the normal course of Association business, we may transfer your personal information to MailChimp for email announcements (name, email address), Wiley for journal subscriptions (name, physical address, email address), the BioElectroMagnetics Society (BEMS) for joint memberships (name, physical address, email address, membership details) and PayPal for payments (name, physical address, email address).

We do not share your personal information with any other third parties.

Data Protection

We protect your data in several ways. We use secure web hosting with SSL certificate for all communication between our server and end users.  Pages with personal information are password protected and only available to members in good standing.  For example, member profile pages containing a picture, biography, membership status, and contact link are only accessible to members in good standing who have logged into the website.  We also use active, real-time monitoring of our web server to mitigate potential attacks and hacking attempts.  User email addresses are never shared between users through the website, except in cases related to routine business of the Association, such as internal Council and Committees email lists. When personal data is copied from the server to a local hard disk during the normal course of Council business, the local hard disk is encrypted and password protected.
